Tự động hóa quy trình công việc là gì?

Tự động hóa quy trình làm việc đề cập đến việc sử dụng một số (nền tảng) công cụ, phần mềm để hoàn thành một số nhiệm vụ và hoạt động mà không cần sự can thiệp của con người, giúp thực hiện công việc nhanh hơn, dễ dàng hơn và nhất quán hơn. Bằng cách tự động hóa quy trình làm việc, các cá nhân hoặc công ty giảm các thao tác làm việc thủ công hoặc loại trừ các công việc có tính chất lặp đi lặp lại.

Ví dụ Tự động hóa quy trình công việc:

Mỗi quy trình đều chứa một số công việc hoặc hoạt động có thể được tự động hóa, nhưng mức độ tự động hóa của một quy trình có thể khác nhau. Dưới đây là một số ví dụ về các công việc thường được quản lý bởi phần mềm tự động hóa quy trình:

Email và các biểu mẫu điền được chuyển đổi thành yêu cầu dịch vụ.
Sự kiện lịch và lời mời được tạo và gửi đi.
Phân phối khối lượng công việc theo thời gian hoặc các tiêu chí khác.
Các mục công việc được gán/gửi tới người phù hợp.
Email hoặc cảnh báo được gửi khi các mục công việc thay đổi trạng thái.
Cảnh báo được kích hoạt khi công việc trễ hạn hoặc gần tiến đến hạn chót.
Tin nhắn được gửi qua Slack, WhatsApp, SMS hoặc các nền tảng khác.
Tài liệu hoặc hợp đồng bán hàng được tạo ra và gửi đi để ký.
Thông báo được gửi khi cần phê duyệt hoặc xem xét.
Dữ liệu được đồng bộ hóa mỗi khi nhận được email hoặc điền biểu mẫu.
Báo cáo và bảng điều khiển được tạo ra từ dữ liệu trong quy trình làm việc.

Có nhiều cơ hội cho việc tự động hóa trong hầu hết các quy trình làm việc. Nói chung, nếu một công việc là lặp lại, dễ dự đoán, đơn giản, có lịch trình, hoặc xảy ra thường xuyên, nó có thể được tự động hóa. Khi nhiều công việc trong một quy trình được hoàn thành bởi phần mềm, thì chính quy trình đó đã được tự động hóa.

Dưới đây mình sẽ tổng hợp một số khóa học hướng dẫn tự động hóa quy trình làm việc bằng việc sử dụng các phần mềm, công cụ… khác nhau. Đây là một chủ đề rất rộng, do đó số lượng khóa học về chủ đề này cũng khá nhiều.
